About the Opportunity
As part of the Corporate Services Portfolio, the Executive Assistant is a trusted partner to the Chief Operating Officer (COO), providing high-level executive support that enables effective leadership across the organisation. This role ensures the COO is fully briefed, well prepared and supported through proactive management of their diary, correspondence and commitments.
You’ll build strong, professional relationships across the organisation and with external stakeholders, underpinned by a commitment to customer service and quality outcomes for our city. Success in this role comes from anticipating needs, adapting quickly to changing priorities, and maintaining a strong awareness of issues, initiatives and activities relevant to the COO and the Portfolio.
The role includes preparing engaging presentations, managing and prioritising correspondence and enquiries, coordinating meetings and briefings, and ensuring reports, actions and responses are delivered on time. You’ll also support governance processes, including Council and Committee reports, Executive and Leadership Group agenda items, and high-quality correspondence for the Lord Mayor and Chief Executive Officer on behalf of the Portfolio.
In addition, you’ll support Associate Directors and teams across Corporate Services when needed, contribute to organisational projects, and continuously improve administrative systems, processes and record management practices. Through your work, you’ll help ensure the Portfolio operates smoothly, professionally and in line with Council policies and expectations.

About You
To be successful in this role you will have:
- Extensive experience in providing administrative support and assistance at an executive level.
- Experience in managing an Executive’s electronic diary and ensuring the organisation of all documents for appointments.
- A high level of verbal and written communication skills with the ability to foster and maintain strong working relationships with internal and external stakeholders.
- A high degree of ability in the Microsoft Office Suite and a demonstrated ability to quickly learn in-house software programs.
- Demonstrated ability to plan and organise competing work demands and to operate efficiently under pressure and manage competing priorities to produce timely, high quality responses, maintain attention to detail and meet deadlines.
- Ability to compose and present correspondence of a non-specialist nature.
- A strong understanding of how Council operates.
